Abide Event Co. Terms and Conditions
Agreement
By making full payment for your booking, you agree to the terms on this page.
Booking, Reschedule & Refund
We understand that each booking requires significant time, preparation, and care. To honour the work dedicated to your event and to maintain fairness for all customers, the following policies apply.
Cancellations
Cancellations for the following reasons do not receive a refund.
This includes (but is not limited to):

change of mind
-
illness
-
inability to attend
-
booking errors
No-shows are treated as cancellations and are non-refundable.
Cancellations leading to a full refund will only be considered in cases of genuine emergency.
This includes (but is not limited to):
-
The death of a close family member or friend
-
Hospitalisation
-
The onset of labour
Weather Policy
Poor weather does not qualify for a refund.
If poor weather is expected, the picnic will proceed at the customer’s or event organiser’s chosen backup indoor or undercover location.
It is the customer/event organiser’s responsibility to have a backup location available.
If no suitable backup location is provided, the booking will still be considered fulfilled, and no refund or reschedule will be offered.
Late Arrivals & Early Departures
Your picnic setup is held for a strictly 2-hour duration.
The 2-hour period begins at the agreed booking time, not your arrival time.
Leaving early or requesting early pack-down does not alter the booking fee.
Access to Your Location
Please ensure we have access to the setup location — including any park permits, entry codes, parking details, or lift access.
If setup cannot proceed due to access issues, the booking will be treated as fulfilled, and no refund or reschedule will be offered.
Damages & Cleaning
Guests are responsible for any damaged, stained, or missing items.
Damages will be charged at the current market value of the item, plus an administration fee for replacement and processing.
Cleaning or damage fees may apply for minor issues.
However, if replacement is required, the full market value plus admin fee will be charged.
Force Majeure (Unforeseen Circumstances)
In rare events outside our control — such as extreme weather, government orders, or natural disasters — we may need to adjust how the service is delivered.
Event Organiser Responsibility & Permits Clause
1. Role of Abide Event Co.
Abide Event Co. provides equipment hire and styling services only.
We do not act as the event organiser for any booking.
2. The Customer Is the Event Organiser
By placing a booking, the customer acknowledges and agrees that they are the sole event organiser for the purposes of:

event approvals
-
legal and regulatory compliance
-
safety
-
location permissions
-
crowd management
-
site suitability
Abide Event Co. is not responsible for organising, managing, supervising, or operating the customer’s event.
3. Permits, Approvals, and Government Requirements
The customer is fully responsible for obtaining, maintaining, and complying with all required permits, licences, approvals, or authorisations for their event location, including but not limited to:
-
National Capital Authority (NCA) approvals for use of National Land
-
ACT Government or Access Canberra permits for use of public land
-
ACT Parks and Conservation approvals (if applicable)
-
Venue-specific permissions (e.g., gardens, parks, public lawns, community areas)
-
Any Works Approval if required
-
Permissions relating to structures, shade equipment, commercial activity, photography, amplified sound, or food service
Abide Event Co. does not apply for, manage, or secure any permits or approvals on behalf of the customer.
4. No Liability for Customer Failure to Obtain Permits
Abide Event Co. is not responsible for:
-
advising the customer on regulatory requirements
-
determining whether a permit is required
-
applying for or securing any permits
-
any fines, penalties, relocations, enforcement actions, or cancellations arising from the customer’s non-compliance
If an authority (e.g., NCA, ACT Parks, Access Canberra, security personnel, rangers, venue management) requests proof of permits or instructs that the hired setup be moved or removed due to missing approvals, the customer is solely responsible, and no refund will be provided.
5. Customer Warranty
The customer warrants that:

They have independently assessed their event and location and determined whether permits or approvals are required prior to payment and booking with Abide Event Co.

They will obtain any approvals that may be required by law or by the site owner/manager.

They understand that Abide Event Co. does not provide guidance on permit requirements and does not verify whether approvals are in place.
6. Indemnity
The customer agrees to indemnify and hold harmless Abide Event Co. from any claims, enforcement actions, fines, damages, or losses arising from the customer’s failure to obtain appropriate permits or comply with applicable laws or authority requirements.
